Terms and Conditions

Congratulations and thank you for choosing to apply for the Austern International’s Career Immersive Program. We are committed to providing you the best support as you prepare for the experience of a lifetime, which is why we have prepared the following terms and conditions to protect your interests and ensure all parties understand their responsibilities.

Participants certify that all information submitted as part of an application and throughout the application process is correct; participants agree to stand by the financial, academic, and conduct policies and procedures set forth below by Austern International along with any policies and procedures of partner institutions or program providers. Austern International suggests that you carefully read the details of the Terms and Conditions and speak to us if you require any further clarification. Please note there may be additional conditions which apply to specific placements or programs.
 
By participating in an Austern Program or other activity facilitated by Austern you as the “participant” agree to the following terms and conditions. 
 
Participants understand that Austern International and its affiliated institutions & corporate partners, in arranging these programs, act only as agents. As such, neither Austern nor any of its employees, or persons, parties, organisations, or agencies collaborating with them, is or shall be responsible or liable for injury, illness, loss, damage, deviation, delay, curtailment, however caused, or the consequences thereof which may occur during any travel or program. Austern and their partners reserve the right to cancel or alter any program or course for any reason.
 
Program Confirmation
Participants will not be confirmed in an Austern program until their application has been assessed, and deposit paid. Participants should not arrange airline tickets prior to receiving a program confirmation from Austern International. All programs are subject to change by the overseas host company on-site provider. The participant also agrees to the terms and conditions of the host company.
 
Fees and Payments
Program inclusions are a package fee and cannot be divided or broken into segments. If a participant does not attend an on-site excursion or activity, no refund will be provided. 
  1. We require deposit after acceptance which is refundable for 7 days after they pay the deposit. After the 7 days, the deposit is no longer refundable. 
  2. If the student cancels after they have paid the full payment, only half of the payment is refundable. 
  3. If you wish to cancel less than 40 days before departure, there will be no refund given.
  4. If you wish to change or defer programs less than 40 days before departure, a $320 handling fee will be charged on top of any program price changes. There will be no refund given.
     
Program Fee Changes
Austern International reserve the right to vary program fees in the event of changes in exchange rates or price rises made by partners or other suppliers. If the cost of any service increases due to exchange rate fluctuations, price increases, tax changes or any other reason, participants are required to pay the increase when notified or may cancel a program which may result in cancellation fees, per the Austern International refund policy. 
 
Cancellations by Austern
Austern International reserves the right to cancel any program if there are insufficient registrants (in the rare case that minimum numbers may apply) or if Austern International determines it is in the best interest of the applicant’s safety and quality of programming to cancel the program. Austern International is not responsible for other costs incurred by applicants preparing for a program. Should a program be cancelled for any reason, applicants will, where possible, be offered the option of positions in other Austern International Programs or a full refund on all fees paid.
 
Unforeseen Circumstances
Students must understand that due to the international aspect of programs, events beyond the control of Austern International and program partners may occur including the outbreak of war, civil unrest, natural disasters, force majeure and situations where a participants safety is comprised due to different customs, standards, health regulations, laws and risks than what may be accustomed to in Australia, and that these may require a modification or termination of participation in a program or the modification or termination of the program itself.  Students agree to abide by the directions given by Austern International in such circumstances as it relates to the health and safety of participants.
 
Release of Liability and Assumption of Risks
In organising and managing study, volunteer and internship projects for both individuals and groups, Austern International, its partners, agents, employees, and staff give notice that they act solely on behalf of and for the benefit of the participants, on the express agreement that Austern International shall not be liable, financially or otherwise, for non-performance or unsatisfactory service; for the injury to persons including death, for loss of or damage to property, for accident or delay, and/or for expenses arising from strikes, weather, quarantine, sickness, government regulation, civil unrest or war, or from any act or omission of Austern International agents or employees, and/or airline, mail services, rail, bus company, vehicle rental entity, hotel, restaurant, or other supplier of service. By agreeing to these terms and conditions participants assume all of these risks and agree to indemnify Austern International, its officers, directors, partners, program leaders and employees harmless for any and all liability that may arise in connection with participation in a Austern International program.
 
Austern International reserves the right to refuse any applicant admission to any program if he or she is deemed ill suited for the program. Important program information will be sent to the email address provided on the application. Photographs, videotapes, and/or statements provided by participants may be used in promoting Austern International. Austern International publishes program and project photos regularly on the Austern International website and social media sites. These photos and videos are available for current and future participants, friends, family, and interested individuals to download, email, or print for personal use.
 
Austern International shall have no responsibility for any activities undertaken by the participant outside the scope of those directly relating to the program, including activities which may have been recommended by Austern International staff or its partners.
 
Travel Documents & Insurance
All participants must possess a valid passport for their program, with at least six months validity past their expected return date. Participants are responsible for any costs associated with visas, airport taxes, obtaining the proper travel documents for their trip, and changes to flight itineraries. All participants must have valid, comprehensive health and travel insurance during the time of their program. It is the individual participant’s responsibility to ensure the levels of cover are adequate and that any pre-existing illnesses have been disclosed.
 
Austern International provides general information on visas and visa processes if necessary; information is given as a guide only and does not constitute Austern International providing advice on such topics. All participants should seek independent advice with regard to visa regulations and status. Austern International is not authorised to provide insurance or make travel arrangements for participants, both insurance and travel arrangements are facilitated only with bookings and confirmations provided by authorised entities.
 
Austern International require all participants to be covered by appropriate health/medical insurance prior to departure on any program. Participants must show proof of medical insurance prior to being able to start their program. Medical insurance must include in and out patient cover, medical evacuation and repatriation. Austern International strongly recommend participants arrange comprehensive insurance for the entire program duration including any pre or post program travel. Additional or supplementary comprehensive insurance can be purchased separately and in most cases can be arranged in conjunction with flight bookings. All participants should review their medical and travel insurance, be aware of excess payments related to claims, understand exclusions and ensure a policy meets their own requirements. Code of Conduct & Behavioural Expectations
By joining an Austern International Program, the participant assumes certain obligations to Austern International, their home country and other program participants. If an on-site program director determines a participant fails to meet the behavioural expectations or does not abide by the Code of Conduct set out in this document, that participant may be asked to leave the program. Participants asked to leave under such circumstances will not receive a refund.
In addition to other program responsibilities, as a program participant you are responsible for:
  • Being in sufficient good health to undertake the program.
  • Acting in an appropriate and respectful manner towards the local people, fellow travellers, program participants, and staff in accordance with the customs, laws, regulations, and ordinances of the destination country
  • Communicating effectively your interests, skills, limitations, and needs to host university representatives, program providers, on-site directors and/or community members and program staff members.
While abroad, you are not only representing your home country, but Austern International as well. For this reason Austern International expect all participants to behave in a legal manner that is respectful of other people, customs, and property. Participants are responsible for researching and understanding issues that relate to a respective host country’s laws, as well as the safety, health, political, and cultural conditions of the host country.
While participating in an Austern International program, it is expected that participants will abide by the following code of conduct. Violation of this code may include dismissal from the program.
 
Behaviour Policy
While in a foreign country, participants are subject to that country’s laws and regulations. That country may not afford the protections available under Australian law. Any student convicted of a crime abroad can expect imprisonment and/or fines. Austern International will not assist in legal matters caused by a participant’s use of alcohol or drugs.
 
Any of the following are considered a violation of the Austern International Code of Conduct:
  • Violation of the Alcohol and Drug Use Policy (See below)
  • Criminal behaviour or violation of local laws, including theft or vandalism
  • Violation of rules or conditions in participants accommodation
  • Violation of rules in effect at the host university/institution or program
  • Repeated intoxication
  • Abusive language or behaviour toward Austern International staff, representatives, university faculty/staff, host family, program providers or other Austern International program participants
  • Sexual harassment
  • Disorderly, indecent, or obscene conduct
  • Violent behaviour
  • Damage to Austern International facilities, accommodation, partner company spaces, hotels, or transportation vehicles
  • Falsification of documents or personal records submitted to Austern International as part of the application or acceptance process.
  • Any inappropriate conduct including but not limited to violation of any Austern International policies.
 
Alcohol and Drug Use Policy
Participants who choose to drink alcohol are responsible for their actions at all times. Excessive drinking may be grounds for dismissal as it can affect the safety of the group, the community and/or the individual. Intoxicated students will not be allowed to participate on any Austern International excursion or activity, and participants will not receive a refund for the missed excursion or activity unless permitted by an Austern Team Leader. The use, sale, or possession of illegal drugs by Austern International participants is strictly prohibited and will result in disciplinary action, up to and including dismissal from the program with no refund applicable. Any violation of the alcohol and drug policy will be taken seriously by Austern International and may be reported to authorities where applicable.
 
Corrective Action
Please note: If a student engages in violent behaviour towards any Austern International staff, representative, team leaders, company partners, associate or Austern International participants they may be immediately removed from the program.
Corrective action may include but is not limited to any of the following:
  • Compensation: A participant may be required to pay for damages or theft.
  • Loss of privileges: A participant may be denied permission to participate in Austern International activities, excursions, etc. permanently or for a designated time period. No refund will be given for missed activities.
  • Accommodation termination: Austern International has the authority to remove any participant from his/her accommodation and/or the program in the case of inappropriate behaviour. If this occurs, the student must then find his/her own alternate accommodation at his/her own expense. No refunds for accommodation payments will be given.
  • Dismissal: A participant may be permanently expelled from the Austern International program. The dismissed participant will not receive a refund of any kind.
  • Termination of participation does not diminish or otherwise affect the participant’s obligation to make any and all payments to Austern International.  
 
Age
Participants must be aged 18 years or over at the time of program departure, unless expressly agreed in advance by Austern International (in writing). If under 18, appropriate consent forms will also need to be signed by parents / guardians. A copy of the participant’s passport must be submitted prior to the commencement of the program to verify age. Austern International reserve the right to cancel an application or terminate a placement without refund if false proof is found to have been supplied.
 
Disclosure
All participants must disclose at time of application any pre-existing or existing medical conditions (including depression or related conditions and / or eating disorders) and disabilities. Any medical conditions arising after application and prior to departure must be disclosed to Austern International prior to departure and subsequent program commencement. Austern International reserve the right to refuse an application based on these disclosures if deemed necessary and in the safety and best interests of the participant. Austern International reserve the right to cancel an application or terminate a placement without refund if false information or lack of disclosure is found to have been supplied. Austern International is not held responsible for the administration or monitoring of any medication.
While Austern International make every effort to establish safety conditions and risk assessment, participants are advised that the general standards of health, safety and hygiene in many countries visited may not be of comparable standard to Australia and hence a risk of injury and illness is more probable while abroad.
Some Austern International programs may require a police check or criminal record check. This check shall be carried out at the participant’s expense. Some programs may require proof that participants are clear of certain medical conditions, through the provision of a formal health check and / or certificate. This check shall be carried out at the participant’s expense.
 
Complaints
If a participant wishes to lodge a complaint in relation to their program, they shall first bring the complaint to the attention of the Austern International in-country representative, our People & Culture Manager or director, who will make reasonable efforts to deal with and, where possible, resolve the complaint within a reasonable time. If the representative is unable to resolve any serious complaint, and the participant chooses to terminate their placement early and depart the project, they shall provide the representative with a written notice prior to departure. Compensation cannot be provided for early departure from any program unless extreme circumstances are found, which will be determined at the sole discretion of Austern International. Participants agree that Austern International shall not be liable for damages or compensation relating to any claim regarding inconvenience, disappointment, discomfort or loss of enjoyment.
 
Disclaimer
While all care is taken, Austern International does not guarantee or warrant the accuracy, reliability, completeness, currency or usefulness of information supplied or made available to participants and is not responsible for or liable in respect of any loss, damage, cost or expense suffered as a result of reliance on that information by any person. Austern International reserves the right to change information or material at any time without notice, including but not limited to details relating to programs, courses, admissions, fees and services.
 
Please note, Austern International may discontinue, vary or make unavailable programs and courses contained in the www.austerninternational.com website at any time without notice. It is the participant’s responsibility to consult directly with Austern International to confirm the accuracy, currency and completeness of information found on the website, particularly before acting in reliance upon such information, such as booking flights.
